What languages do you support?

We support over 200 languages, from commonly requested languages like Spanish to many less common languages. Our network includes over 20,000 qualified linguists.

How do you ensure the quality of your translations?

Quality is the result of our meticulously applied translation quality assurance processes, guided by our quality management system. We are certified for both ISO 9001 and ISO 13485. Every project we do includes three rounds of quality assurance checks to ensure accuracy, consistency and completeness before delivery. We also utilize client-specific glossaries, style guides and translation memories to maintain consistency across projects.

What qualifications do your translators have?

All of our translators and linguists are native speakers of the target language and are carefully vetted. At a minimum, they have a degree in translation studies and at least three years of experience as a full-time translator, or a bachelor’s degree in another subject with at least five years of experience as a full-time translator. We select linguists for each project based on their subject matter expertise and their success in similar past projects, ensuring they have the right knowledge for your industry.

Confidentiality and Compliance
How do you handle sensitive content and ensure data security?

At Responsive Translation we are committed to establishing and maintaining the security and confidentiality of all information. Our translators and team members sign Non-Disclosure Agreements (NDAs), and we use secure, dedicated folders on our SharePoint system for file storage and transfer. We also adhere to relevant data privacy regulations such as HIPAA.

Can you provide a Certificate of Translation (COT)?

Yes, we provide certified translation services. A certificate of accuracy, or other certification statement, is provided free of charge upon request. Depending on end-user requirements, we can also provide custom certificates and notarization.

Can you customize workflows to meet specific compliance or accessibility standards?

Yes. We can tailor our workflows to meet specific compliance standards, including plain language guidelines, Section 508 and WCAG accessibility requirements, and specialized formatting for the education, legal and healthcare industries.

Turnaround Time
What is your typical turnaround time?

Our turnaround time depends on the project size, language pair and service type, but for short projects, we can often deliver within 1–2 business days.

Can you handle urgent requests or same-day delivery?

Yes. We have teams and workflows in place to meet tight deadlines without compromising quality. Rush or same-day service is available upon request.

How can I request a quote?

You can request a quote in any of four ways:

How do you calculate the cost of a project?

Every project is unique. For translation projects, we typically calculate the cost based on the word count, language pair and workflow or service type requested. We offer several different workflows, so don’t hesitate to ask if you don’t see what you need. Rates can vary depending on the content type, subject matter complexity and whether additional services are needed, such as voiceover recording. Our project managers will put together an estimate for you to review. Once the estimate is accepted, then we get to work!

Process and Workflow
What is the standard workflow for a translation project?

Every translation we do starts with a language-specific style guide, glossary and translation memory. Our standard process includes translation, editing, proofreading and three rounds of quality assurance to ensure the highest quality.

What is the difference between expert translation and human-edited machine translation (also known as post-editing), and which is best for my needs?

Expert translation involves a human translator starting from scratch and is best for content requiring a natural tone, cultural nuances and high accuracy. Human-edited machine translation starts with AI-generated drafts that are refined by human linguists, which is good for content intended for internal use or large volumes of content with a tighter timeline and a lower budget.

Can you provide quality assurance only?

Yes. If you don’t need full translation, we offer a wide range of Independent Quality Assurance (IQA) solutions. These standalone services can complement your existing teams and processes with comprehensive linguistic and strategic support.

What kind of file formats do you work with, and will the original formatting and layout be preserved?

We work with a wide range of file formats, including editable text formats like Word, InDesign, and PowerPoint; non-editable formats like PDFs; as well as more technical formats like JSON, XML and XLIFF. We also offer multilingual DTP and graphic services to prepare documents, adjust layouts and ensure that the translation fits appropriately and the original formatting is preserved for your target audience.

Technology and Integrations
How do you manage translation memories, glossaries and style guides across translation projects?

All engagements start with the construction of a glossary, style guide and translation memory before translation begins. These linguistic assets are stored and managed for each client in our translation management system. They are used throughout each project to ensure consistent terminology and tone, as well as to ensure consistency across projects.

How do you handle technical formats like JSON, XML or XLIFF?

We regularly work with these formats using our translation management system, which handles tags automatically. Our linguists only adjust tag positions when issues are flagged.

What kind of API integrations do you offer? Can you integrate your services directly with my content management system (CMS), code repository or other tools?
